A quick way to change the number of lines you see

With certain applications you want more or less lines to suggest expansions and continuations.

Add the following entry into the Prime glossary:

{ToggleFocus}{Wrap}
{Ctrl R}{Wrap}

Assuming you assign the short form lm - the quick way is to type lm;1 to get 1 line,
lm;9 to get 9 lines

Click on View Prime Glossary... in the Glossary Menu to open the Prime glossary in the Glossary Viewer and then on Add.

Whatever glossary you are using in the Glossary list, the Prime glossary entries can be pulled up anytime.

Have you tried the Pick Expansion command?

All depends on how much you want to streamline your working glossary, how often you look at your glossary in the Glossary Viewer,and if you really want to see all the included glossary entries such as all the sutures or all the dates, for instance.

If not, you create a Pick Expansion command such as:
{PickExpansion}
filename = "Glossary\Dates_MDY-20XX.xglo"
{/PickExpansion}
with a short form that will pull up the Dates_MDY_20XX.xglo entries.

So you type "pd" and then "8n;" to expand "November 8, 2024".

And when you look at your working glossary in the Glossary Viewer you won't have to scroll through a whole bunch of included entries such as the dates. You can still see the Dates glossary once it is pulled up and you see the dates in the Expansion Table

Have you used the Pick Expansion command?
It's easy to use and allows you to pick an entry of a particular glossary you may not want to have included all the time.

This command is a very nice aternative to including a glossary. Using the PickExpansion command gives you access to all the expansions of the specified glossary. Everything happens as if you had temporarily switched to the specified glossary for the time of an expansion and then switched back to you...

With Instant Text 8.60 and 9.60 you now can use Instant Text in the Instant Text Add and Edit window.
These versions also have a powerful "Replace All" command:

To generate customized dates glossaries you can always use the ITGenDates.exe utility in the exe folder of InstantTextEXP (9) or InstantTextWNP if you are using Instant Text 8.

Creating your own short form rules

Rules are fine, but they are only good when they are simple and limited in number.
Once you have found your best rules and found their application gets your words and/or phrases faster up to the top, you can convert an existing glossary to these rules:
You open it in the Glossary Viewer,
go to the Tools menu,
and click on "Convert Short Forms...".

Let's have a look at the Glossary Viewer's Options menu

The first 2 menu items allow you to change the font of the viewed glossary and the default colors for 4 categories of glossaries.

The 3rd menu item, Short Form Rules..., opens a window where you can define your own short form rules you want Instant Text to apply when you add 1 word, 2, 3, or 4 words.

As you know, the default short form for 1 word being the whole word just means you can type a shortcut being any subset of the word left to right starting with the first letter. By typing 3 or 4 relevant letters the word comes to the top of the expansion table.

Where the short form rule comes in handy is for 2 words. Instant Text by default assigns the initials. For 2 word phrases you end up having a lot of 2 letter short forms. So if you have a system to make the shortcut a little bit longer, such as "abab" or "abaz" or the whole string, Instant Text from then on will assign your rule to the 2 word phrases you will be adding to your glossaries. It should make it easier to pull them up to the top of the expansion table.

In the Short Form Rules window, once you have clicked on the tab "2 Words", click on the top numbers to select the starting letters and on the lower row numbers to choose the ending letters. Or all numbers. You will see what effect your chosen rule will have on the short form next to Short and you can test your rule on one of your 2 word phrases. If you choose the whole string you can use the separator scroll box to add a hyphen or an underscore between the 2 words.

More about the Tools menu

It offers you to merge glossaries which you only should use to make one glossary out of 2 or more when the entries of these glossaries should belong into one unique file. Most of the times the "Includes" feature is preferable. You combine the glossaries, but they stay separate entities, and at any time you can get back to the original glossaries.

Let's explore the Tools menu in the Glossary Viewer

The Enrich function under Tools is one of the unique features Instant Text offers to build your expander lists without you doing the work.
You can enrich an existing glossary or a newly created empty glossary in the Glossary Viewer. The source for words and phrases to be picked up can be text you copy to the clipboard or text of a selection of documents. The more text you have the richer the glossary will be.
If you use the Enrich from Clipboard... item, you likely have less text. So the Minimum Frequency for Words and Phrases should be low.
If you use the Enrich from Documents... item and you add a large number of documents to compile, the Minimum Frequency for Words and Phrases can be higher.
After the Enrich is done, the Select Enrich Entries window shows what Instant Text picked up, and you can decide which entries you want to keep and unmark those you don't.
